Electronic Truck Weighing System Drawings and Documents Requirements
- The system supplier shall submit documentation (for example, drawings, data, and calculations) regarding the weighing system to Company according to Company’ VDR Form. This form accompanies the Request for Quotation and the Purchase Order and identifies those documents required for approval, those for record, and states their submittal dates as required by Company.
- All correspondence and documentation shall be in the English language, and the units as specified in the project-specific documents. Other languages may be used if a complete, word- for-word English translation is also provided. All documents shall have a 100 mm wide x 80 mm deep (4 in x 3 in) “clear” space above the title block for the Company SDTS (Supplier Document Tracking System) bar code and review-status stamp. For small size documents [for example, A4, letter size (8 1/2″ x 11″)], a separate cover sheet shall be supplied.
- The following list of documents found on the VDR Form details the information Company needs on each type of document itemized. Failure to provide this information in its entirety, when required, will disrupt Company’ design effort. Incomplete documents will be returned to the supplier marked “DID NOT MEET REQUIREMENTS.”
- Note 1: It is acceptable for a single supplier document to contain the information that is listed as appearing in multiple separate documents on Company’ VDR Form.
- Note 2: Those documents with “OPTIONAL” in the name apply only when the project-specific documents scope of work requires the related item to be provided.
- Note 3: Company’ identification information as defined in the P.O. (for example, tag number) shall be placed on the documentation.

- Weighing System Wiring Diagram shall show the electronic cabling between the weighbridge summation box, the system indicator-controller, and other peripheral equipment (for example, printer). The drawing shall include information on each individual conductor’s color coding, wire gage, terminal block connection number, grounding requirements, and related electrical installation requirements. If connectors are used on any of the cables, information and details on the connectors shall be provided.
- Weighing System Overall Bill of Material shall represent all of the parts in the weighing system as it is shipped from the factory. The list shall include item description, item part number, and item quantity. All removable/replaceable parts shall be listed including hardware, cabling, load cells, junction boxes, and peripheral equipment items. Individual pieces of integrated assemblies (such as the structural parts of weighbridge modules or the internal parts of the indicator-controller) shall not be listed; just the assembly shall be listed.
- Weight Indicator-Controller Drawing shall show the outline dimensions of the unit needed for installation for either a desktop mounting or a panel mounting. Mounting hole size and pattern, as well as electrical power supply and the electronic weigh signal cables locations shall be shown.
- Weight Ticket Painter Drawing shall show the outline dimensions of the unit needed for installation. Mounting hole size and pattern, as well as electrical power supply and electronic weigh signal cable locations shall be shown.
- Instruction Manual shall cover all components provided as part of the weighing system (for example, weighbridge, indicator-controller, printer, and any other peripheral devices provided). Either one overall manual or individual manuals for each component may be supplied. Regardless of the number of individual manuals supplied, detailed information and specification data must be provided on the installation, start-up, operation, maintenance, and troubleshooting procedures of the individual components and the overall weighing system (if appropriate). Components manufactured by sub suppliers must also be covered, either by their own manuals or inclusion in other manuals. Components that are programmable must have detailed information in their manuals on proper programming of the various functions the components have available.
- Recommended Spare Parts List shall include any parts in the weighing system that might reasonably need to be replaced during start-up, calibration, and the first two years of operation. The need for replacement could result from things such as wear, corrosion, or physical damage. Any parts requiring replacement during expected maintenance or recalibration procedures shall be included. The list shall include quantity, part identification number, description, and its current selling price.
- Record of Paint Application shall be a statement listing the type of surface preparation used and the painting system applied to components specifically fabricated for the project (for example, the weighbridge modules). Mass-produced items such as the indicator-controller and printer need not be covered by the record. As a minimum the record shall include the following:
- Surface preparation used (SSPC number)
- Primer paint type and thickness
- Intermediate coat type and thickness (if used)
- Finish paint type and thickness
- Weighing System Schedule shall describe the weighing system’s production schedule with milestones and target dates for each. The schedule must show the delivery date of the system. The schedule shall also show expected installation and calibration timing with the expected completion “ready-for-use” date.
- Weighing System Inspection Certificate shall certify that the weighing system has been inspected according to the system supplier’s quality assurance program and passed all inspections. It shall further certify that the system is according to all Company requirements. The certificate shall be signed and dated by an appropriate quality assurance inspector.
- Test and Calibration Procedure shall be the procedure that is to be followed to test and calibrate the weighing system to achieve “legal” weighing status. Paragraph 5.11 provides more detail regarding information required in the procedure.
- Calibration Certificate attests that the weighing system has been calibrated, tested, and approved as a legal weighing device for the locale or district in which it is to be operated.
- Weighbridge Material Certificate (Optional Scope of Work) shall include the chemical and physical properties of the materials comprising the structural steel load-bearing members of the weighbridge modules. The method used to exclude rain when the housing is accessed (for example, for the input of data) shall be shown and detailed if appropriate.
- “As Built” Drawing is intended to indicate physical nonconformances that might provide problems in the field with the weighbridge installation. An example would be an out-of-tolerance weighbridge width or length. The “as built” shall be a print of the final approved (Company Stamp #4) weighbridge assembly drawing marked in ink to show the “as built” dimensions of the weighbridge assembly. Any dimension not within tolerance shall have the actual dimension indicated. In-tolerance dimensions shall be checked off or initialed as being OK. At least the following dimensions shall be checked and recorded on the drawing.
- Overall weighbridge size (length, width, height)
- Sizes of individual weighbridge sections (modules)
- Location of anchor bolt holes
The print shall be signed and dated by the supplier’s inspector.
- The “as built” drawing shall be sent to Company Engineering Data as soon as it is complete. After review of the “as-built” dimensions by Company, a “Release Notification” will be issued regarding the disposition of the equipment. Equipment may not be shipped until the Release Notification has been issued, and Purchasing contacted for delivery instructions.
